How we work

We own the accuracy

We take ownership of your numbers and run them on one clear, repeatable process. Accuracy is ours to hold, not something balanced on one overworked person or a good month. That is what makes your reporting reliable, your audits calm, and your finances predictable no matter who is in the room. It is also why a finance function should never rest on one person, the most common way nonprofit finance operations fail.

Our services

Every Bicycle engagement is built on the controller. That is the constant. Bookkeeping is the layer you add when you want us keeping the books too.

Controller

The foundation of every engagement. We own the accuracy of your numbers, whoever keeps the books.

  • Review and oversight of your bookkeeping
  • Monthly close discipline and controls
  • GAAP-ready reporting and board-level insight
  • A senior set of eyes accountable for accuracy

Best for: organizations that already have bookkeeping handled and want senior ownership they can trust.

Controller and Bookkeeping

Everything in the controller service, plus we keep the day-to-day books. One team, the whole finance function.

  • A controller who owns accuracy and the monthly close
  • The day-to-day books, kept clean and current
  • Clean, GAAP-ready monthly reporting
  • Numbers you can take to your board and funders with confidence

Best for: organizations that want their entire finance function in one place.

Note: every engagement starts with the controller, because owning your accuracy is what we are here for. Bookkeeping is the layer we add on top when you want us keeping the books too.

Who reviews your close

Every month, your close gets reviewed. You choose the level:

  • With your finance manager. Your day-to-day person, who knows what each transaction is about.
  • With your controller. A CPA, who can answer whether the accounting is right.
  • With a CFO. One monthly meeting, looking forward: what the numbers mean for what comes next.

Projects, when you need them

Budgeting, forecasting and similar pieces of work are scoped as projects rather than bundled into your monthly service. That is deliberate. Keeping them separate is how we keep your monthly cost proportionate, and how we make sure the work gets the time it actually needs rather than being squeezed around a close.

When you need one, we work backwards from the date your board needs it.

The audit guarantee

We guarantee your audit

When Bicycle handles both the bookkeeping and the controller work for a full financial year, we guarantee your audit. If that year's audit comes back with a material finding, we refund the cost of the audit.

We can offer that for one reason. When we own every step, every number comes from somewhere we can see, and nothing waits on a hand-off we do not control.

Terms apply. The guarantee covers years where Bicycle has been your bookkeeper for the full period.

Pricing

Clear pricing, no surprises

Every nonprofit is different, so we scope your engagement to your size, your complexity, and the layers you actually need. We walk you through the numbers openly on our first call, so you know exactly what you are getting and what it costs before you commit. No hidden fees, no drawn-out back and forth.

Who we work with

We only serve nonprofits, and we do our best work with organizations advancing social justice: legal aid, advocacy, civil rights, and the movements around them. If that sounds like you, we are probably a strong fit.

We work exclusively in QuickBooks Online. If you are on another platform, a migration is where we start.

Frequently asked questions

What is the difference between your two services?

Every engagement includes a controller who owns your accuracy: the close, the controls, and the reporting. Our Controller service is that oversight on top of bookkeeping you already have. Controller and Bookkeeping adds the day-to-day books too, so we run the whole finance function.

Can you provide controller support if we already have a bookkeeper?

Yes. That is exactly what our Controller service is for. You keep your bookkeeper, and we add the controller layer: review, monthly close discipline, and reporting you can stand behind.

What does a nonprofit controller do?

A controller owns the accuracy of your numbers. They oversee the close, enforce controls, catch errors before they reach your board or funders, and turn raw bookkeeping into reporting you can actually make decisions on.

Do we need to be on QuickBooks Online?

Yes. We work only in QuickBooks Online. Running every client on the same platform is a big part of how we keep the close consistent and the reporting reliable. If you are on something else, we take that on as a migration project first, then run your finance from there.

Do you do budgeting and forecasting?

Yes, as scoped projects rather than as part of the monthly service. Keeping them separate means your monthly cost stays proportionate and the work gets the time it needs. When you need one, we work backwards from the date your board needs it.
